SOFTWARE ENGINEERING & BUSINESS AUTOMATION · WORLDWIDE

Custom software. AI workforce. One system you own.

DND Systems is a software engineering company. We map how a business actually works, build a custom operational system around it, and deploy AI agents inside that system to execute the recurring work — quoting, documents, finance operations, reporting, correspondence.

01 · Company

An engineering company. Not an agency, not a template vendor.

DND Systems was founded on a simple observation: most companies do not suffer from a lack of software. They suffer from software that has nothing to do with how they actually operate — so people spend their days moving data between tools that were never designed for their business.

We do the opposite. We model the real process first, engineer a system around it, and then let AI agents run inside that system with full context. The result is one operational layer a company owns, instead of twelve subscriptions it fights.

Engineering happens in-house. Commercial coverage runs through a partner network, so clients always have a contact in their own market and language.

02 · Capabilities

What we actually deliver.

Every engagement combines these disciplines in a different mix. What never changes is the order: understand the process, build the system, then automate inside it.

01

Process discovery

A structured audit of every recurring workflow, system and hand-off. The output is an engineering-grade map of the business, not a slide deck.

02

Custom operational software

Web applications engineered around the mapped processes — quoting, orders, finance operations, scheduling, documents, controlling. Owned by the client, not rented.

03

AI agent engineering

Specialised agents working inside the system with real context: reading documents, drafting quotes, reconciling records, answering correspondence, escalating exceptions.

04

Systems integration

ERP, accounting, CRM, telephony, e-mail and supplier APIs unified behind one data model, so every agent and dashboard reads from the same truth.

05

Data & reporting layer

Live operational and financial reporting — margins, liquidity, backlog, utilisation — generated by the system instead of assembled by hand.

06

Managed evolution

The system keeps changing with the business. Change requests are implemented continuously, with monitoring, versioning and support behind them.

03 · Engineering principle

Model the process first. Then let the AI run it.

AI without a system underneath produces demos. AI on top of a system that mirrors the business produces work. That is why we never start with the model — we start with the process, encode it in software, and only then give agents the authority to execute inside it, with clear boundaries and a human review path for everything that matters.

04 · Selected work

Five sectors. Five systems. Zero templates.

Each of these is a real client system — their processes, engineered into their own software. They are not a product catalogue. They are evidence that any process with a repeating structure can be modelled and handed to AI agents.

Trades·OS

Enquiry in, quote out, cash flow visible.

Incoming enquiries are qualified automatically, then turned into a costed, reviewed, ready-to-send quote. Route planning, material reordering and statutory documentation run in parallel. The liquidity model nets open jobs, pre-financing and incoming payments, so the owner knows today what next month looks like.

  • Automated quoting from pre-qualified enquiries
  • Liquidity planning across all live jobs and pre-financing
  • Documentation duties — sign-offs, timesheets, evidence — captured as work happens
This is one client system — not a product. Different processes simply produce a different system.
05 · Delivery model

Five stages from audit to autonomous operation.

Each stage ships something usable. Nothing is built on a foundation that has not been validated in production first.

Operate
  1. 01 · Discovery
    Process audit

We sit with the teams and record every recurring workflow, system and hand-off, step by step.

  2. 02 · Design
    System architecture

The map becomes a data model, an interface design and a delivery plan with clear stages.

  3. 03 · Engineering
    Build & integrate

The operational software is built and connected to existing ERP, accounting and communication systems.

  4. 04 · Automation
    AI agents in production

One agent per domain — finance, quoting, correspondence — trained on the client's own processes and data.

  5. 05 · Operate
    Continuous evolution

The system keeps growing with the business: new workflows, new markets, new requirements.

The through-line: built bottom-up, designed top-down. When the foundation already assumes that autonomous agents will one day run on it, the process and the software are engineered correctly from day one.

06 · Engagement

Three ways to start.

Every engagement is scoped, quoted and approved stage by stage. No open-ended retainers, no work against an undefined outcome.

01

Process audit sprint

2 – 3 weeks · fixed price

A self-contained engagement that ends with a documented process map, an automation inventory and a costed architecture proposal. The output belongs to the client, whether or not we build the system.

  • Workshops with the people who do the work
  • Process, system and hand-off documentation
  • Automation potential quantified per workflow
  • Costed proposal for the first build stage
02

System build

First production module in 8 – 16 weeks

We engineer and integrate the operational system in defined stages. Each stage is quoted separately, released to production, and only then does the next one begin.

  • Stage-based scope, pricing and approval
  • A production release at the end of every stage
  • Source code, data model and documentation handed over
  • Integration with existing ERP, accounting and communication tools
03

Managed operation

Ongoing · monthly

Once agents are live, we run, monitor and extend the system as the business changes — new workflows, new markets, new regulatory requirements.

  • Monitoring, incident response and versioning
  • Continuous change requests with a prioritised backlog
  • Agent supervision, quality review and retraining
  • Quarterly review against business outcomes
How pricing works

Fixed price per stage, quoted once that stage is scoped. The audit is quoted first; everything after it is priced on findings instead of assumptions. Contracts, invoicing and support are available in EUR through our EU entities.

07 · People

You describe the business. We engineer the system.

A senior team carries the whole transformation: understand the processes, build the software, put the AI workforce into production. Clients stay in their domain — no internal IT department required.

Systems architecture · AI transformation

Defines the target picture before a line of code is written: how the business should run once daily administration no longer lands on the leadership team. From that, a clear plan emerges of which work the system takes over and where humans deliberately keep control.

09 · Trust & governance

The questions a serious buyer asks first.

Custom software and autonomous agents only make sense if ownership, data handling and control are settled before the first line of code. Here is how we settle them.

01

You own the system

Source code, data model and documentation are transferred to the client. No dependency on a platform only we are able to operate.

02

European entity, European hosting

The engineering company is EU-based. Systems are hosted in EU data centres by default, or inside the client's own cloud account where policy requires it.

03

GDPR by construction

Data minimisation, role-based access, audit trails and data-processing agreements are part of the build — not a document added at the end.

04

Controlled AI autonomy

Every agent has an explicit scope, approval thresholds for anything material, and a human review path. Actions are logged and reversible.

05

Confidentiality

NDAs before discovery, access on a least-privilege basis, and client data is never used to train third-party models.

06

Across time zones

Remote-first delivery with on-site workshops where they earn their travel. Project language English or German; commercial support in five more languages.

10 · Questions

Frequently asked, honestly answered.

The questions we get from companies in Europe, the Gulf and the Americas before a first call.

Something that is not answered here? Write to hello@dnd-systems.io

01

Do you work with clients outside Europe?

Yes. Engineering sits in Cyprus, commercial coverage runs through ScalePro Marketing in the German-speaking market and DVF Ventures worldwide. Projects are delivered remotely in English, with on-site workshops where they earn their travel.

02

Which companies is this built for?

Operating companies whose processes have outgrown off-the-shelf software — typically 10 to 500 employees, with recurring, document-heavy work in quoting, finance, compliance or service delivery.

03

Why not just buy standard software?

Standard software forces the business into its model. We invert that: the system is engineered around the actual process — which is also the precondition for automation that can be trusted.

04

Who owns the software and the data?

The client. Source code, data model and documentation are handed over, and the system can run inside the client's own cloud account.

05

How quickly is there a first result?

The process audit takes two to three weeks. A first production module typically follows within eight to sixteen weeks, depending on integration depth.

06

What does an engagement cost?

Fixed price per stage, quoted once that stage is scoped. The audit is quoted first; everything after it is priced on findings instead of assumptions.

07

Do we need an internal IT department?

No. Architecture, build, integration, deployment and operation are on us. What we need from the client is domain knowledge and decisions.

08

What happens when an AI agent gets something wrong?

Agents operate inside defined boundaries with approval thresholds for anything material. Every action is logged and reversible, and exceptions are escalated to a human instead of guessed.

09

Which languages do you work in?

Project delivery in English and German. Commercial conversations are also available in Spanish, French, Portuguese and Russian through our partner network.

10

How does a collaboration start?

With a 30-minute call about how the business runs today, followed by a written outline of what an audit would cover and what it would cost.

11 · Human in the loop

So what is left for the people?

When agents take over the bulk of repeatable work, the obvious question follows: what do the teams actually do?

They do the work they were hired for. Clients instead of paperwork. Judgement instead of data entry. Moving the company forward instead of surviving the day.

Administration, reconciliation and record keeping move to the AI workforce. People supervise the system as human in the loop: they set direction, approve what matters and intervene where the stakes are real.

Higher output. Lower overhead. Work that is worth doing.

First step · No obligation

Let's spend 30 minutes on your operation.

Tell us how the business runs today. We will tell you which parts can be modelled in software, which parts AI agents can take over, and what a first stage would realistically cost and deliver.
